The Vetting Process
- Role Assessment: The hiring manager assesses the role to determine if vetting is required, having carefully considered the definitions of Relevant Work.
- Vetting Request: Hiring Manager, or a representative, emails gardavet@tcd.ie, providing name and email of the applicant and a justification on how the role meets the definitions of Relevant Work. The University reserves the right to decline requests if it is not satisfied that the role qualifies under these definitions.
- Verification of Identity: HR contacts the candidate to start the Vetting process by send outing documents that will need to be completed via DocuSign and by carrying out the ID Verification steps. Candidate will be required to personally attend HR for collection of signature and ID validation. Please see 100-point check list on identification required. Candidates need to obtain 100 points on the checklist including one form of photographic evidence.
- Application Submission: Once the ID is verified the applicant receives a link to the e-Vetting Portal and completes a Garda Vetting Invitation Form
- Processing by the National Vetting Bureau (NVB): The University reviews the Vetting Invitation returned by the applicant and submits the application to the NVB for background checks.
- Vetting Disclosure Review: The University receives a vetting disclosure and assesses suitability for the role.
- Final Decision: The applicant will be informed of the vetting outcome before appointment is confirmed.
Is a Foreign Police Clearance Required?
If an applicant has lived outside Ireland for a cumulative period of 3 (three) years or more after the age of 18, he/she may need provide a Foreign Police Clearance Certificate from the country or countries of residence.
- For countries where the candidate lived for 12 months or more, an FPC will be required.
- For countries where the candidate lived for less than 12 months, and FPC will not be required.
The University reserves the right to request an FPC for a lesser period if it so requires. This Certificate should state that the applicant has no convictions recorded against them while residing there or the Certificate should disclose any convictions recorded against the applicant during the term of residence. The information contained in the FPC will not be used by the University for a purpose other than for assessing the suitability of the person for the relevant work or activities for which they are being considered.
At its discretion, the University may, afford an employee or a potential candidate a period of up to 6 months to obtain the appropriate FPC.

UK: UK Police Certificate (ICPC)
The certificate must be issued by the national police authority and may need to be translated into English. Please liaise with HR if unsure.
Obtaining and providing this certificate is the applicant's responsibility.
Failure to provide a valid Police Clearance Certificate may result in delays or ineligibility for the role.
Costs associated with obtaining a FPC (except travelling costs) will be reimbursed. Please liaise with HR for further instructions.
