Can I use this form to change terms of an exisiting researcher?
No, this form should only be used to nominate new researchers or existing staff to a new role.
Can I split codes across POETA and GL?
The form does not allow for split coding across POETA and GL. If this scenario occurs, please include details of this in the comments section of the form. Allocate the highest percentage of the funding under the relevent section on the form and manually input the code for the remaining allocation.
What happens if a PI wants to change detail on the form after contract review/generation?
Form will be rejected by HR and sent back to the PI for resubmission
I want to nominate a Senior Research Fellow?
You do not use this form. Please refer to the Academic Titles Document available on the HR Website to determine the process for nominating a Senior Research Fellow.
I am the PI on the grant but I also want to nominate myself - can I do this?
No, the Head of Discipline/School must submit the nomination on your behalf
Will I be able to see the status of this form once submitted?
Yes, once the form has been submitted at Step 1, you can view the stage of the form on your tracker. If the form has been delegated to numerous people at Step 1 prior to submission, it will not be visible on the tracker.
I don't know the correct workgoup?
Please liaise with your school office to get the relevant details
I need a new workgroup set up?
Leave this field blank at Step 1 and the School Manager will input details at Step 2
The code is not appearing in the drop down list?
If this is a new code, it will require a period of time for FSD to set up on the oracle (FIS) system. You cannot select a code/nominate until the code is set up.
Do I need to be on the VPN to access the form?
No, VPN connection is not required
What salary scales are we using?
We are using the IUA salary scales that will increase in line with National Wage Agreements
The nominated candidate is an existing member of staff moving to a new role/project – do I need to upload the pension related forms?
This is a mandatory field requiring an attachment so if this instance occurs, please upload a blank PRD document to allow the form to be submitted.
Can I copy and paste from another document?
No, you must type all details into the free text box. If you copy and paste, an error message will appear and will not allow you submit.
Can I access the form using a generic email address – eg hr@tcd.ie?
No, you must be logged in with your personal work email address to access the form for review/approval.
I am getting an error message when I try to submit?
You must scroll back up the form to find the error message which will be highlighted in red and provide details of the error.
