Introduction
This Privacy Notice explains how and why your personal data is processed by the Centre for Academic Practice, Trinity Teaching & Learning, Trinity College Dublin (“Centre for Academic Practice”). This Privacy Notice also explains the steps taken by Trinity College Dublin (“Trinity College” / “the University”) as a data controller to safeguard individuals’ rights under data protection legislation, specifically the EU General Data Protection Regulation (“GDPR”) and Data Protection Acts 1988-2018.
Trinity College fully respects your right to privacy and actively seeks to preserve the privacy rights of data subjects who share personal data with the University. Personal data which is processed within Trinity will be treated with the highest standards of security and confidentiality in compliance with data protection legislation.

Please note, this privacy notice relates to the processing of data by the Centre for Academic Practice, some of which is automatically collected by other institutional platforms for which the Centre for Academic Practice does not have responsibility or control. (e.g. Office365 / Blackboard) We ask staff to consult the privacy statement of these websites/platforms in order to understand the policies and practices under which they operate.
How and why your personal data is used
The mission of the Centre for Academic Practice is to foster and facilitate opportunities for colleagues to advance their practice in teaching, learning & assessment.
As part of our practice we:
• evaluate the impact of professional development provided by the Centre for Academic Practice on Trinity College participants’ academic practice.
• continually evaluate our own practice for the purposes of ongoing enhancement of professional development provision.
• contribute to the advancement of research and scholarship in teaching, learning and assessment.
To fulfil these objectives, we process the of following types of personal data from Trinity staff who attend our events, for the following purposes:
• Demographic background, current needs, and impact of professional development: in order to enhance future professional development provision.
• Prior knowledge/understanding and knowledge generation: to enhance formative assessment and to enhance future professional development provision.
These in turn contribute to our work on advancing research and scholarship in teaching, learning and assessment.

We also process personal data which is routinely collected via the institutional virtual learning environment. (This includes records of when users access modules and resources and records of all communication activities including discussion forum posts etc. This data may be used to monitor participant activities and engagement within a module. Legal basis for processing your personal data
Trinity College ensures that your data is processed fairly and lawfully in keeping with the principles of data protection as set out under Article 5 GDPR.
Data is collected by the Centre for Academic Practice from Trinity staff that attend events / participate in focus groups and interviews to support the Scholarship on Teaching and Learning within Trinity. This is carried out to support the objects and functions of Trinity College Dublin in compliance with the Universities Act, 1997.
Data that is collected from individuals is anonymised before analysis, presentation at conferences, and publication.

How Trinity College securely stores your personal data
Personal data is stored confidentially and securely as required by the Trinity College Information Systems Security Policy and Data Protection Policy. The University is committed to ensuring that your data is safeguarded by appropriate technical and organisational security measures relevant to the processing in accordance with Article 32 GDPR requirements.
When Trinity College stores your personal data on its systems the data will be stored either on University premises or on secure IT platforms within the European External Area (“EEA”) or external of the EEA which are subject to Chapter V GDPR requirements.
Details of third parties with whom Trinity College shares personal data
In accordance with Article 28 GDPR, when Trinity College shares your data with third parties it ensures that the data is processed according to specific instructions and that the same standards of confidentiality and security are maintained at all times.
For the purposes of this privacy notice, the Centre for Academic Practice will not share any data with third parties.
How long Trinity College retains your data
In keeping with the data protection principle of storage limitation Trinity College will only retain your data for as long as is necessary for the purpose of providing services relevant to Trinity College requirements and in accordance with the Trinity College Records Management Policy.
Your rights under data protection law

Right of Access
You have the right to request a copy of the personal data which is processed by the Systems and to exercise that right easily and at reasonable intervals. The University’s Data Access Request Form is available to download here.
Rectification
You have the right to have inaccuracies in personal data that we hold about you rectified without delay.
Erasure
You have the right to have your personal data deleted where we no longer have any justification for retaining it, subject to exemptions such as the use of pseudonymised or anonymised data for scientific research purposes.
Object
You have the right to object to processing your personal data if you believe the processing to be disproportionate or unfair to you. Trinity College reserves the right to challenge any such request on the grounds that the processing is required, necessary and proportionate.
Restriction
You have the right to restrict the processing of your personal data if:
• you are contesting the accuracy of the personal data;
• the personal data is processed unlawfully;
• you need to prevent the erasure of the personal data in order to comply with legal obligations; or
• you have objected to the processing of the personal data and wish to restrict the processing until a legal basis for continued processing has been verified.
